The University depends upon UEC to provide services that cannot be supported with state funds. We're responsible for business enterprises on campus including, but not limited to, dining, bookstore, convenience store, and vending services. We also serve as the grantee for federal, state, and local funding for research and sponsored projects. Position Summary Temporary, full time, 'non-exempt', benefited position through 8/31/2022 (Appointment may be renewed annually based upon availability of funds, availability of work and satisfactory job performance). Salary: $3,033-$3,466.67 per month Location: San Bernardino, CA Program Summary: TRIO Educational Talent Search (ETS) is an educational program funded by the U.S. Department of Education designed to help middle and high school students to continue to the next grade level, graduate from high school, and enroll in and complete a college education. The TRIO Educational Talent Search Program at CSUSB will serve 1500 students from target schools in the Colton Joint, Rialto, and San Bernardino City Unified School Districts. Work Schedule 40 hours per week. Schedule to be arranged, but typically, Monday-Friday from 8:00 am - 5:00 pm though some nights, weekend work may be required. Incumbent must be able to participate in remote or on campus work depending on the directives from the CSUSB campus. First Review Deadline This position will remain open until filled. Typical Activities Under the general supervision of the Director, Educational Talent Search, the Educational Talent Search Program Administrative Coordinator will: Oversee and coordinate all day-to-day administrative, fiscal and office support functions; Provide a complete range of administrative support to the Educational Talent Search programs, including budget oversight, general procurement of services and equipment, maintenance of the student database and student folders required for federal documentation, meeting coordination, agenda development, travel arrangements, general supervision of the tutors and student assistants, and special events support; Field routine inquiries and explain Educational Talent Search's mission, policies and procedures to faculty, staff, students, and the general public; Make travel arrangements (i.e. reservations, accommodations, per diem requests, expense reports and itineraries) for Program staff; Orders and maintains inventory of office equipment and supplies; Maintains and coordinates time keeping records for all Program staff; Perform all other duties as assigned: Support APR preparation The incumbent will coordinate and execute all areas, including hiring, retention, development, payroll, and separation, for all student employees. This will involve collaboration and working closely with Student Employment, payroll, UEC payroll and UEC HR. The incumbent will attend meetings, record minutes, and maintain records, as designated by the USSC and division leadership, and will facilitate communications with applicable stakeholders. Coordinate with human resources to handle payroll and personnel databases Work with accounting departments to process invoices, make payments, and track receipts Ensure conference rooms and other meeting spaces are prepared prior to use Other duties as assigned Minimum Qualifications: Education: Must possess a high school diploma or equivalent Experience: The equivalent of two years of experience in general office clerical work Additional Qualifications: Excellent organization, prioritization, and coordination skills; Excellent verbal and written communication skills, including; letter composition, status reports, excellent spelling, grammatical use and superior proofreading skills; Have demonstrated proficiency in Microsoft Office applications (Word, Power Point, Excel, and Outlook). Must possess the ability to adhere to established record keeping procedures; handle confidential and sensitive information, along with the ability to work cooperatively with a diverse group of people, exercise sound judgment, determine priorities, complete assigned projects in a timely manner and work well under tight deadlines; Confident in virtual platforms and technology; Valid California Driver's License and proof of vehicle insurance are required. Preferred Qualifications Some college experience is desirable Experience preferably in a student services setting involving direct contact with diverse students and staff; Bilingual (Spanish) strongly preferred; Strong preference will be given to candidates that have received training in delivering college readiness activities, such as through the TRiO Training Institute (UNLV) sponsored by the US Department of Education.
