Coordinate event scheduling reservations on campus for faculty, staff, and student events as well as perform administrative tasks for department management team. Process and approve faculty, staff and student event scheduling requests ensuring events are in compliance with university policies and regulations. Assist with student hiring and training of the Event Scheduling student staff to ensure the successful event scheduling for faculty,staff and student events. Assist with development of intradepartmental procedures, writing scheduling policies and enforcing policies & procedures. Process student filming requests including interfacing with full time coordinators in the School of Film and Television, Housing,Campus Safety and Facilities Management to ensure compliance with university policies and regulations. Act as liaison between campus clients and third party approver to obtain space approval Maintain records in scheduling software to ensure integrity of data and reservations. Manage the approval process of all events before being inputted in the scheduling software. Create reports and assist with special projects for the management team. Assist with managing, developing, and continually updating master scheduling computer system providing information to critical areas on campus (i.e., Campus Safety, facility managers). Perform other duties as assigned or requested. Minimum of two years office work experience including in a customer service setting. Previous experience in event/conference technology management highly desired. Demonstrated knowledge in the principles of organization. Knowledge of various aspects of event/conference management. Knowledge and understanding of a university environment, both organizationally and politically. Ability to work as part of a team. Ability to communicate well with a diverse population of faculty, staff, students, all levels of administrators, and others using tact and diplomacy at all times. The use of equipment and facilities. Ability to simultaneously work on multiple tasks with varying deadlines. Demonstrated ability to solve problems and flexibility in handling last minute changes. Exemplary communication skills (both written and oral). Highly developed Crisis management skills. Demonstrated computer competency and preferably knowledgeable in Microsoft Office Suite.
