Vehicle Condition Specialist (**Job Number:** 2224502 )

**Position Summary:**

The Vehicle Condition Specialist acts as the central point of contact for corporate Remarketing Sales teams for vehicle buybacks, prep for sale maintenance complaints, Remarketing buyback titles, 3rd party inspections and auditing. This position is responsible for analyzing vehicle condition to meet terms of purchase, along with creating and tracking all necessary documentation pertaining to Remarketing buybacks and purchases. The Vehicle Condition Specialist will communicate regularly with district maintenance and leadership in order to fix any inadequacies as well as collaborating with Remarketing Sales, Regional Asset Managers, Fleet Services and Dealer Compliance teams. This position will prepare for greater levels of responsibility in Asset Management.

**Major Responsibilities:**

Receive and Review 3rd Party Inspections

+ Review inspections from 3rd party companies to determine the condition of vehicles being purchased

+ Analyze inspection results to understand the vehicle’s condition based on agreed purchase terms

+ Create a breakdown of repair costs based on type of repair needed

+ Communicate inspection results and make recommendations on budgets and needed repairs

+ Act as Remarketing point of contact for 3rd party inspection companies

Remarketing Buybacks

+ Analyze circumstances of buy back to determine if buy back is appropriate

+ Make recommendations on course of action to Remarketing and Field leadership

+ Determine what documentation will be needed to complete buyback

+ Communicate with customer to obtain necessary documents and next steps

+ Communicate with shops to verify vehicle location, confirm drop off

+ Order 3rd party inspection of unit

+ Review inspection results to ensure vehicle is in appropriate condition

+ Send copies of inspection results to Buyer/Regional Asset Manager/owning district

+ Make recommendations to owning location based on repairs noted in inspection

+ Verify that all necessary documentation has been received and approved

+ Communicate results of inspection with customer and Remarketing Sales teams to complete buyback and send customer funds

Prep for Sale Audits

+ Act as central point of contact for field maintenance on Prep for Sale and Park4Disposal

+ Analyze repair orders to determine if all necessary work was completed to meet the terms of the sale

+ Work with shops/vendors to obtain proper estimates for repairs

+ Review costs and scope of repairs to determine ROI compared to book value and sold amount versus not completing the repair and selling the unit through a different channel

+ Make recommendations on course of action based on circumstance and vehicle condition

+ Create accurate tracking of prep costs at a unit level in the database for tracking

Post Purchase Prep for Sale

+ Review vehicle current condition with Buyers to develop appropriate sales terms, prep plan and budget

+ Communicate prep plan and budget to shops

+ Monitor and analyze prep work and costs to ensure adherence to plan and budget

+ Analyze and make recommendations on exceptions to repair plans

+ Review any exceptions to repair budgets with shop and adjust budget as needed

Invoice/Billing for Inspections

+ Request payment for inspection invoices

+ Ensure database is up to date reflecting payment for each inspection

+ Ensure payment is correctly reflected to GL codes for affected district

**Qualifications:**

+ Requires strong communication, organizational and time management skills and the ability to multi-task.

+ Must be effective at communicating verbally and via email with outside customers, district staff members, and associates within the Penske organization.

+ Must possess a working understanding of vehicle specs and conditions

+ Ability to understand what the sales and purchase terms are for a given truck to ensure that the noted damages and costs accurately reflect those terms whether dealing with a buyback or a purchase.

+ Able to work through unique situations with post sale complaints and title issues in order to recommend and enact the most effective solution.

+ Must be able to analyze post sale complaints and understand the impact, both to the company and the customer, of the decision to repair or not repair an asset.

+ Proficiency with Excel and a working knowledge of Access is a plus.

+ Regular, predictable, full attendance is an essential function of the job.

+ Work the required schedule, work at the specific location required, complete Penske employment application, submit to a background investigation (to include past employment, education, and criminal history) and drug screening are required.
