Administrative Specialist - Mathematics Job ID 24553 Location City College of New York Full/Part Time Full-Time Regular/Temporary Regular POSITION DETAILS The Administrative Specialist will report to the Department Chair andAdministrative Officerat The City College of New York. The Administrative Specialist will provide administrative and program support for the Department of Mathematics. In addition to the CUNY title overview duties, tasks include but are not limited to: Assist in overseeing the daily administrative operations and communications in the math department. Provide basic advice and information to adjunct faculty, undergraduate and graduate math majors and minors. Help grant class permission to students during registration. Answers all email inquiries sent to the math department email alias Track and monitor enrollment verification, submissions of grades from faculty using CUNYfirst and update textbook information for math courses via Akademos. Request copies of textbooks from publisher Manage the final exam schedule each semester and liaisons with the Schedule Office to ensure rooms are available for departmental group finals. Work with Course Supervisors to ensure prompt delivery of all math department group final exams. Responsible for confidential items such as managing the final exam collection and copying process and will help proctor in-class exams Work with colloquium organizer and post departmental events and all colloquia on various collegial calendars. Participate in Division of Science student recruitment events, help create pamphlets and posters Work with the Chair and Office of Development to ensure that the Dr. Barnett & Jean Hollander Rich funds of 2.8 million are being utilized to recruit and increase student retention. Manage all other departmental scholarship funds. Create application documents for students to utilize to apply for financial support from the Dr. Barnett & Jean Hollander Rich funds Collect adjunct workload reporting forms and multiple position forms from the full-time faculty. May assist in gathering documents for tenure/promotion packages for all faculty Develop and track all math equipment used by faculty and staff using an application process. Work with Office of Property Management on an annual basis to verify all department computer equipment Act as back up for course schedule editing, submitting payroll for department adjuncts, departmental temporary services account Liaise with Scheduling for all faculty room change requests and with Office of Facilities Management regarding issues of faculty office upkeep and submit all work orders Supervise part-time staff and Federal Work Study students. Provide additional administrative support and special projects as needed within the math department. Performs related duties as assigned QUALIFICATIONS Bachelor's Degree and four years' relevant experience required. Preferred Qualification: Knowledge in mathematics undergraduate curricula Candidates will be required to provide proof of being fully vaccinated against COVID-19 upon commencing employment. Exemption (medical or religious) requests to this requirement will be considered in accordance with applicable law. Being fully vaccinated is defined for this purpose as being at least two weeks past their final dose of an authorized COVID-19 vaccine regimen. Final candidates must be fully vaccinated as of their first day of employment. Until further notice, this is a hybrid position, eligible to work remotely and work in the office.
