Department: Temp Center Salary/Grade: TMP/01 Position: Temporary Full-time Administrative Assistant Hours: This is a full-time position ( 37.5 hours per week/ 8:30am-5pm / M-F) Pay: $15.00 per hour Campus: Evanston Approximate start date: 6/20/2022 Approximate end date: 12/22/2022 Northwestern University is seeking a temporary Full-time Administrative Assistant for the Evanston campus. Temporary Job Description: RTVF Source Temp- 6- 6.5 month position (start date asap to winter break in December 2022)   Job Summary: This position coordinates administrative processes and prioritizes, directs, and responds to business matters involvingadministrative functions associated with education, research, and/or operations.  This role creates and maintains associated documents, spreadsheets, databases, meetings, special events, etc. and alerts supervisor of critical issues and upcoming events. Specific Responsibilities: Event Planning coordination: 40% This person will largely be involved in the planning, coordination, and plan implementation for our fall graduate orientation on 9/13/22 and willassist with our Backward Glances conference. They will be responsible for providing general information to faculty, staff, and students and escalating questions to full-time staff as needed. Additionally, this person will order and monitor catering and deliveries, book and prepare spaces, and order supplies for both events. This person will possess strong customer service skills: friendliness, patience, the ability to say, “I will find out,” rather than, “I don’t know.” The ability to maintain focus and calm under fast-paced and sometimes stressful situations. Attention to detail, the ability to complete follow-up tasks completely and competently, and the ability to work methodically and stay focused during tedious tasks is also important. Proficient in MS Office, particularlyOutlook, Word, and Excel, with intermediate/advanced knowledge of Excel.Strong writing skills also helpful. They will complete other administrative duties as assigned (see below). Manages supervisor's and/or dept calendar. Assists with registration and travel.  Organizes and coordinates events which may include creating timelines. Collects agenda items and background materials. Creates registrant profiles. Coordinates complex itineraries involving domestic and/or international travel, etc.  Prepares annual event, conference and/or meeting budget. Office Administration (40%) Qualifications Required: A bachelor's degree or the equivalent combination of education, training and experience; Strong writing skills; High level of organizational skills and attention to detail; Diligent and can work independently; Experience working with confidential information; Professionalism; Flexibility, adaptability in a fast paced environment.
