Scheduled Hours 40 Position Summary This position provides high-level administrative support to members of the departmentâ™s senior leadership team. This role requires strong organizational skills, taking initiative when necessary, judgement in handling sensitive information and the ability to adapt and learn new task easily. Job Description This is a hybrid role. Primary Duties & Responsibilities Schedule diverse and complex appointments, meetings, and travel arrangements. Prepare complex itineraries for multiple constituents. Prioritize and maintain daily appointment calendar. Handle all meeting details, confirmations, and back-up materials. Prepare and submit travel expense reimbursement according to guidelines. Manage and prepare materials as needed for communication and presentations. Create and manage presentations, reports, dashboards, as it relates to key functions of senior management. Assist senior leadership as needed on special projects. Draft and revise correspondence and assist with the preparation and distribution of various reports and presentation materials, including aggregating materials and formatting. Work collaboratively with the other executive administrative assistants within the department, medical school and hospital partners. Manage a wide range of administrative support tasks and provides general administrative assistance to the Executive Director and other department senior leadership, including Vice-Chairs as necessary. Create and maintain all files for executive. Perform web searches for various information/data regarding peer universities. Perform other duties as assigned. Preferred Qualifications Bachelorâ™s degree. Effective organizational, verbal, written and interpersonal skills. Ability to work under pressure with short deadlines. Ability to work accurately with minimal supervision, show initiative, exercise good judgment, and handle confidential matters. Demonstrated proficiency with computer applications and programs, including Word, Outlook, Excel, PowerPoint, and Access. Ability to work as part of a team or independently. Excellent interpersonal communications skills. Excellent grammar, punctuation, and spelling skills. Well-organized, professional, accurate, reliable, efficient, hard-working, productive, ability to juggle multiple priorities, and able to maintain confidentiality. Ability to participate on various teams and projects. Ability to meet deadlines with varying degrees of pressure. Ability to deal effectively with a large and diverse customer base. Required Qualifications High school diploma or equivalent high school certification plus five or more years of experience providing support to executive level personnel. Accurate typing skills, including statistical typing (60 or more wpm) and PC word processing experience. Excellent knowledge and skills using Word, Excel, PowerPoint and Outlook or similar system. Grade G10-H Salary Range $23.53 - $36.49 / Hourly The salary range reflects base salaries paid for positions in a given job grade across the University. Individual rates within the range will be determined by factors including one's qualifications and performance, equity with others in the department, market rates for positions within the same grade and department budget.
