Scheduled Hours 37.5 Position Summary This position provides a wide range of payroll, human resources and other services within the Deanâ™s Office. This includes processing payroll and HRMS entries. Job Description This position works in a normal office environment, typically sitting at desk with occasional lifting (>25lbs). Ability to work in a multi-level office building and to travel by walking and use of vehicle to on and off campus locations is required. Â Primary Duties & Responsibilities Payroll Manages Time and Labor processes, ensure timesheets are submitted in HRMS and approved by supervisors, confirm hours worked transition correctly to pay sheets from Time and Labor for biweekly staff and students. Processes any manual timesheets by verifying approval authorizations, auditing, coding, entering, emailing on problem timesheets, auditing report, making necessary changes and enter into HRMS. Verifies that sourcing and student task assignments are updated and completed. Runs exception reports and resolve exception instances. Runs biweekly and stipend pay sheet notification/confirmation reports and review for accuracy and completeness, resolving issues as required. Processes manual check requests and payroll cost transfers as needed and communicate special paycheck distribution arrangements. Enters new hire, non-employee, and stipend recipient appointments and ensures I-9 verification and submissions are completed on a timely basis (as applicable) for all faculty, staff and students.Â Liaison to OISS. Liaison to Student Financial Services Office, and coordinates all federal work student funds. Enters annual stipend level updates for students and post-docs. Enters data changes, additional pay items, academic year pay, transfers, terminations, and update personal information for all faculty, staff and students. Enters all leave-related transactions in HRMS for faculty and staff. Tracks utilization of accrued paid time off for staff to insure appropriate transitions from paid to non-paid leave status for faculty and staff. Provides professional and courteous customer service. Assists with entering job postings in TAM as needed, works with hiring manager to set up email, accounts and access paperwork. Serves as backup for staff Time Reporting approvals in the absence of the Director of Administration. Processes PCTs. Human Resources Assists in developing procedures and processing of onboarding new faculty and staff. Processes FMLA requests for all Olin staff. Assists in coordinating professional development opportunities for staff, including tracking of attendance. Assists in developing and implementing policies and procedures for student workers. Responsible for communication with faculty regarding all student workers, ensuring compliance with University and legal requirements. Continually look for opportunities to improve workflow efficiency and accuracy of transactions. Facilitate process changes as mandated. Ensure consistency of HR and accounting practices and adherence to Olin Business School and University policies and procedures. Maintain a thorough and up to date knowledge of policies and procedures, including the Universityâ™s statement of internal controls and federal, state, local and foreign national payroll rules and regulations. Grant Processing Works with Principal Investigators to compile and submit grants according to established guidelines, preparing and reviewing all agency forms for submission.Â Enters grant budgeting documents on line. Works with grants office to ensure that funds are set up in a timely manner, prepare any necessary project advances, no-cost extensions and ensure that funds are carried forward as appropriate. Coordinates transfer of PI grant files into Wash U and to new institution or new departments. Attends training sessions/seminars related to the grants. General Office Duties Assists other Deanâ™s Office support staff by answering phones, greeting visitors, and customer service as needed. Orders office and coffee supplies and maintain inventory. Projects and other duties as assigned. Preferred Qualifications Knowledge of University systems (AIS, HRMS). Previous experience in higher education environment. College accounting (six credit hours) or commensurate work experience with a minimum of two years of accounting experience. Demonstrated interpersonal skills with the ability to establish and maintain positive working relationships with co-workers, supervisors, employees and vendors. A self-motivated individual driven by challenge with the ability to work independently with a high degree of reliability, accuracy, and productivity. Ability to work in a team environment and be an effective team player. Ability to handle confidential information responsibly. Must be able to convey a professional image. Ability to identify and resolve workflow issues relative to continuously changing needs. Must be flexible as priorities can change with very little notice. Excellent customer service and communication skills, both written and verbal. Demonstrated accounting, analytical, and problem-solving skills; strong organizational skills and the ability to work independently. Ability to manage and prioritize multiple tasks and deadlines while maintaining a high level of attention to detail; ability to manage high volume workload efficiently. Ability to handle confidential information responsibly. Required Qualifications High school diploma or equivalent high school certification and at least three yearsâ™ experience in HR, Personnel, and Payroll. Ability/willingness to follow HR procedures according to WU policies. High level of proficiency with Microsoft Office Products (Word, Excel and PowerPoint) experience or equivalent applications. Grade G08-H Salary Range $19.56 - $30.35 / Hourly The salary range reflects base salaries paid for positions in a given job grade across the University. Individual rates within the range will be determined by factors including one's qualifications and performance, equity with others in the department, market rates for positions within the same grade and department budget.
