Scheduled Hours 37.5 Position Summary Under the direction of the Sam Fox Schoolâ™s Senior Assistant Dean & Registrar, this position is responsible for creating, maintaining, preserving, and ensuring the integrity, accuracy, and security of confidential academic records. The Assistant Registrar will be responsible for providing intensive operational support leading up to the implementation of Student Sunrise, an entirely new academic and student support methodology, as well as support for moving away from the legacy system currently in use. The Assistant Registrar works within the inclusive and innovative Sam Fox School Registrarâ™s Office in all matters related to student records and transcripts, as well as enrollment procedures for all current students, faculty, and staff, as well as former and admitted students. Confidential, timely, and accurate work is essential. The Registrarâ™s team works collaboratively on complex problems to meet deadlines, including those related to the transition to and go-live for Student Sunrise. The team also interacts with all stakeholders in a professional manner, with awareness of and compliance with all regulations of the Family Educational Rights and Privacy Act (FERPA). Job Description Primary Duties & Responsiiblities Creates and maintains accurate student records, such as waitlist processing, add/drops, special grade reports, milestone records, holds, and more. Tracks incompletes, missing grades, and course retakes/repeats. Clear backlog and keep current a variety of documents uploaded to SISdocs. Maintains and updates listservs as students change programs and enrollment status. Assists with backend work for system migration from current Student Information System (SIS) over to the new Student Sunrise System such as maintaining, correcting, updating, and proofreading documents including course descriptions, prerequisites, student documents/forms, curriculum, policy, and historical documents for permanent record retention via Box and SISdocs, and Student Sunrise. This will include new categories such as minors, second majors, and new degrees, as well as all existing academic programs. Writes, edits, proofreads, and coordinates correspondence, documents, web-based materials, and academic probation letters for the Sam Fox School Registrarâ™s Office. Â Updates course information in WUCRSL, assign attributes to new courses, circulate new course information to appropriate program advisors for attribute approval. Provide course fee information to the Sam Fox Schoolâ™s Finance Office and the Universityâ™s Student Accounting Office. Runs reports and provide data analysis for dean, directors, program chairs, and other in WU administration. Assists with orientation and onboarding of students; tracking compliance with Canvas modules; assist in creation of Washington University access identities (WUSTL Keys); receives transcripts; inputs pre-matriculation (AP/IB), course waiver, and transfer credit as directed. Supports graduation by tracking Intent to Graduate submissions and student work submissions for the Sam Fox Schoolâ™s Recognition Ceremony. Assists with event planning and logistics. Performs other duties as assigned. Preferred Qualifications Bachelorâ™s degree with three to five years of related experience. Prior experience working in student services or customer-services-related areas. Higher education administrative experience. Experience with Washington Universityâ™s SIS, SISDocs, and WUCRSL systems. Excellent computer skills required; working knowledge of Microsoft Office Suite and MS Windows; accurate data entry and keyboarding skills. Excellent communication skills (ability to communicate in writing and in person to people at all levels and backgrounds). Good analytical and problem-solving skills; extremely detail oriented. Ability to work with minimal supervision and with frequent interruptions. Ability to meet deadlines, be part of a team, and capable of handling stressful situations. Ability to use judgment and tact in dealing with faculty, staff, and students. Sensitivity to concerns of students. Ability to work independently and complete tasks on time with minimal supervision. Computer skills and excellent oral and written communication skills. Understanding of basic accounting. Required Qualifications High school diploma or equivalent high school certification and three yearsâ™ related work experience. Grade G08-H Salary Range $19.56 - $30.35 / Hourly The salary range reflects base salaries paid for positions in a given job grade across the University. Individual rates within the range will be determined by factors including one's qualifications and performance, equity with others in the department, market rates for positions within the same grade and department budget.
