This position will be based and located at our Corporate Office in Boise, ID.

POSITION PURPOSE: As a the Administrative Assistant you will work in a fast-paced office environment and perform various administrative and project-related activities to support our leadership team. A successful candidate has the ability to balance multiple leaders and team members with travel and scheduling needs while handling details that are confidential, critical in nature and time sensitive. Assignments are moderately complex and diversified in nature and may require working within a nationally dispersed team. Judgment and decision-making ability are required in resolving moderately complex problems. The responsibilities include the ability to learn quickly, manage and prioritize multiple tasks simultaneously, provide a diverse range of technical assistance in preparing reports, compile data and problem solve, as well as act as a key communicator and liaison for the leadership team.

KEY ACCOUNTABILITIES:
  • Support the senior leadership and all team members with administrative needs including maintaining calendars, making travel arrangements, processing expenses and scheduling meetings.
  • Coordinate large scale meetings; including travel nationwide, prepare agendas, PowerPoint presentations, mean planning, etc.
  • Develop presentation materials using PowerPoint, Excel, and other related products.
  • Lead selected broader-team administrative tasks including team snacks, town hall meetings and occasional facilities/IT requests.
  • Provide elevated administrative and logistical support for key team meetings.
  • Handle administrative tasks and special projects as required.
  • Collects and prepares information for the use in presentations/meetings of executive staff, other employees, and non-company individuals.
  • Documents meeting minutes for staff, as well as manage action items.
  • Plans, organizes and manages multiple calendars.
  • Coordinates all managing staff travel arrangements.
  • Answers phones, screens and documents incoming calls.
  • Manages and reconciles expense reports, purchase requisitions submissions.
KNOWLEDGE AND EXPERIENCE:

Experience Level:

5+ Years of administrative experience, preferably in a large office environment

Skills and Experiences:
  • 5+ years' experience providing high level secretarial and administrative support in a senior leadership environment.
  • Excellent oral and written communication skills.
  • Ability to handle confidential material with discretion.
  • Highly developed organizational skills.
  • Significant customer service experience, utilizing strong collaborative and inter-personal skills.
  • Considerable experiences managing multiple and high-level priorities simultaneously.
  • Must be able to prioritize work assignments and be detail oriented.
  • Mastery of all office systems skills; in particular Excel and PowerPoint
  • Thorough knowledge of technical and business vocabulary.

  • Work may be performed in a temperature-controlled environment.
  • Must sit, stand or walk for extended periods of time.
  • May spend long periods of time at desk or computer terminal.
  • May use calculators, keyboards, telephone, and other office equipment in the course of normal workday.
  • Stooping, bending, twisting, and reaching may be required in completion of job duties.
  • Environment is fast paced; some evening and weekend work may be required.
