On campus position to provide support within the Office of the Provost to the Associate Provost for Graduate and Professional Studies, which includes administrative support to the Office of Extended Studies and the Honors Director. Provide coordinating and logistical support for a variety of academic and event programming for the Provost Office. Prepare and distribute agendas, attend meetings, take meeting minutes, and provide discussion items and materials in support of academic committees and special initiatives. Collaborate with budget liaison for processing of faculty additional pay and invoices. Receive confidential information and inquiries and prepare correspondence.

This position reports to the Executive Assistant to the Provost and will receive direction and guidance from the Associate Provost for Graduate and Professional Studies, the Director, Office of Extended Studies, and the Honors Director.

Serve as Receptionist for Office of the Provost to include greeting visitors and answering phones.

Provide administrative support for the Office of Graduate and Professional Studies, which includes Graduate Council. Assist in coordinating special events and programs for graduate students, scheduling meetings, taking minutes, and preparing correspondence and reports in support of the Associate Provost and Graduate Council Chair. Collaborate with budget liaison for processing of faculty additional pay and invoices.

Coordinate Graduate Welcome in the fall and Graduate Hooding in the Spring.

Provide administrative support for the Office of Extended Studies. Assist with communications to faculty, students, and external audiences regarding summer and winter course offerings. Facilitate registration process for extramural students and pre-college summer programs. Provide logistical support during summer months when pre-college program participants are on campus. Respond to inquiries in the OES and summer college email account.

Assist with scheduling and maintaining the roster of Honors courses; communicating with honors faculty as requested by the Director; and providing course information to the Deans’ Offices and Registrar’s Office. Plan and coordinate special events and programs to include speaker engagements, meetings, seminars, workshops, conferences, and other special events sponsored by Honors. Provide logistical support in the planning of off campus events/trips for the Honors Program to include buying tickets, selling tickets to students, and making travel arrangements.  

Coordinate annual Whalen Academic Symposium. Publicize and coordinate review of student proposals, provide information sessions for students, secure volunteers, oversee production of the program, and liaise with the Whalen Steering Committee, Conference and Event Services, and other offices as relevant.

Provide administrative support for both the Oracle Society and Phi Kappa Phi. Assist in scheduling meetings, preparing and distributing agendas, attending meetings and recording/transcribing meeting minutes and provide discussion materials. Prepare correspondence and reports in support of committee chair. Coordinate both Oracle Society and Phi Kappa Phi events.

Maintain various websites and social media accounts, including Honors, Phi Kappa Phi, Whalen, Provost, as well as Canvas sites or other related sites.

Participate in special projects and perform additional duties as assigned.

Previous experience working with on-line information systems, on-line corporate calendars and experience working in a college or university setting are preferred.
