Occupational Summary

Manage and coordinate the human resources activities of the Department of Biomedical Engineering including research staff searches, iForms actions, all visa cases/activities, new hires, and special projects.  This would include recruitment, placement and termination of employees, classification and salary administration, interpretation of personnel policies, and employee relations functions to meet University and departmental objectives. Successful candidate must be able to act in a professional manner and maintain a high degree of confidentiality in all areas of this position.  This position reports directly to the BME Business Manager and to the BME Chair, and works closely with the Department HR Specialist.

Important to note that while there may be a possibility for some future remote work, this position requires on-site work, Duke’s West Campus.

 

Work Performed

 

Interpret personnel policy intent and/or acceptable management practices to ensure fair and consistent application of University policy, develop and/or recommend departmental policies in accordance with established University policy.  Coordinate and manage staff recruitment, screening, and interviewing of applicants for departmental positions using Academic Jobs On-line (AJO) as specified by the University’s Management Center; provide guidance on selection and placement of employees in positions to achieve departmental objectives; ensure departmental compliance with EEO and other applicable requirements for all department hires. Advise departmental management and faculty on pay issues, personnel problems, classification issues, performance appraisal, employee relations issues, and/or grievances and determination of appropriate disciplinary actions.  Maintain liaison with Human Resources and other appropriate offices in order to respond to special requests and to facilitate personnel actions as required.

 

Research Staff Hires (including Visa related cases):

Initiate required advertising process through AJO.  Update recruiting and hire in AJO as process evolves to meet EEO requirements.  Draft offer letters to new employees as required.  In the case of foreign nationals, initiate immigration and visa actions, and coordinate actions with other university offices as necessary.  Request AP checks for payment of various visa application fees. Prepare visa applications for new hires and extension of stay for current employees who are non-citizens, transfers. Notify department business manager and Visa Services about special cases and/or terminations.  Correspond with BME management on all problem issues. Make sure new hires are familiar with the university and the local environment.  This applies for all cases (those who are employed and receiving salary from the university as well as those who are self-funded visitors).

 

 

Initiate & Maintain Communications and Webforms for Foreign Nationals: Initiate & track continued employment eligibility of foreign nationals hires and communicate specifics to faculty supervisors, payroll coordinator and business manager as necessary and process actions all actions required.  Excellent organization skills are required to maintain records, review & reappointment schedules, and allowing sufficient time for processing various actions.

 

 

Other Duties:

Responsible for updating and maintaining the BME space inventory in Web Central.  Work closely with department administrators to be sure occupants, and responsible people for all space is accurate, and is assigned the correct room use and function codes. Maintain access (electronic & key-related) for all BME personnel. Compile and prepare a variety of space reports and analyses reflecting various personnel and/or payroll data as requested   

 

As required, and delegated by supervisor, assist with special projects that include department reviews and/or events including visits by Industrial Review Board, faculty retreats, site visits, and other department functions.

Education

Work requires a general business or personnel background generally equivalent to a bachelor's degree in a related field.

 

Experience

 

Work requires one year of business and/or administrative experience, with exposure to human resources activities, to acquire knowledge of human resources policies and procedures necessary to manage the personnel activities of adepartment of division.  OR AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE
