Scope of Responsibilities:

Serves as the primary contact and provides administrative support for Center of Muslim Life.  Assists with the Center’s services, programs, and activities.

 

Duties

 

1. Serves as the first point of contact for in-person, phone, and e-mail inquiries for Center of Muslim Life; answers general questions and distributes relevant information; directs issues and concerns to appropriate staff; sorts and distributes mails and other packages.

2. Develops and implements an efficient system of managing of the Center’s space and equipment.  Maintains inventory of office supplies.  Coordinates with the University’s facilities, maintenance, and operations.  Assists with student organizations’ space reservation requests on- and off-campus.

3. Initiates and processes expenses in Duke@Work.  Reconciles all financial transactions and maintains the Center’s budgetary records.  Investigates discrepancies in financial reports and statements as well as troubleshoots.  Assists with research on financial matters when requested.

4. Serves as the payroll representative.  Processes student payroll.  Creates and manages student staff work schedules.  Assists with the Report Express adjustmentsAttends appropriate departmental and divisional meetings.

5. Assists with the Center’s services, programs, and activities.  Other duties as assigned.

Desired Skills and Competencies

A broad knowledge of clerical and accounting principles and practicesMust be a team player. Familiarity of Muslim culture, customs, history, and faith, and knowledge of social media and desktop publishing software preferred.

 

Minimum Qualifications

 

 

Education

Work requires a broad knowledge of clerical and accounting principles and practices normally acquired through two years of post secondary education in secretarial science or a related business field.

 

Experience

 

Work generally requires three years of related secretarial/clerical experience to become competent in the administration of complex office functions related to office organization and management, communications, and budgetary/accounting activities. * An optional typing speed of 40 corrected words per minute may be required. OR AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE
