Occupational Summary:

Perform a variety of specialized, complex activities in the coordination of a large department's Human Resources. Strong emphasis on proactive problem resolution and departmental communications. Specialize in maintaining all employee’s information for purposes of tracking and reporting. Maintain records of employment, processes necessary paperwork ensure that HR processes are in compliance with the University’s guidelines as well as state, federal, and local regulations.

 

Work Performed:

 

HR Management: 25%

  • Manage and review all Department personnel forms for completeness, accuracy, timing, and conformity to budget and policy guidelines to include faculty appointments; make recommendations and process forms as appropriate; identify and research unbudgeted or potentially inappropriate actions or requests and report to HR management regarding resolution or disposition.
  • Maintain liaison with HR managers, departmental business managers, administrative staff, Department senior management, Human Resource representatives and others as necessary to obtain and provide information as needed.
  • Guide A&S Departments through Human Resources procedures for employees and ensure they understand them.

 

HR Reporting and Analysis: 30%

  • Collaborate with the HR Manager in creating reports based on information maintained in staff trackers and other information located in the database: open and filled positions, disciplinary action, performance improvement, paid leave etc.
  • Collaborate with the HR Manager in maintaining information posted on A&S website to ensure departments within Trinity are compliant with the policy and guidelines set by Duke.
  • Communicate and educate departmental/Duke personnel policies and/or benefit changes. Investigate, document, and resolve unique payroll and human resource problems and issues.
  • Collaborate with the HR Manager in the preparation of annual salary budgets for faculty staff, house-staff, and bi-weekly employees.

MAINTENANCE: 45%

  • Coordinate the maintenance, recording, preparation and reporting of data related to a large department's personnel information; coordinate and maintain the entry of human resource and payroll data and the generation and distribution of related reports and information.
  • Maintain updated personnel records for all departments within A&S such as resumes, performance reviews, terminations, etc.
  • Maintain staff tracker to reflect new hires, terminations, resignations, position management forms, vacancy management forms, supplement requests, and rate analyses
  • Maintain all leave request i.e. FMLA to assist all departments within Trinity
 

Minimum Qualifications

 

Education

Work requires knowledge of basic communications, research and  mathematical principles normally acquired through a high school education.

 

Experience

Work requires the ability to review, maintain, research, and report on human resource and payroll information/activities generally acquired through five years of related experience.  OR AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE
