Occupational Summary


Direct and manage all aspects of recruitment and admissions supporting the Master of Environmental Management (MEM), Master of Forestry (MF) degrees, and a hybrid MEM program for mid-career professionals (DEL-MEM). This position oversees and leads a team responsible for recruiting and admitting a quality applicant pool at the Nicholas School of the Environment (NSOE). Position reports to the Associate Dean of Student Services. The Student Services Office supports all day-to-day operations, including career and enrollment services, for 350 professional students, administrative support for undergraduate majors and minors and doctoral students, and visiting exec ed students.


This position serves in a critical team role, working directly with Student Services team leads, faculty, the Business Office, Office of Communications and Marketing, Office of Development and Alumni Relations, other Duke professional schools, students and other relevant entities.


This is a full-time, exempt position based at Duke’s Durham, NC campus. Must be able to travel (3-5 weeks per year during fall recruitment season), as well as additional periodic local, day trips throughout the year and occasional evening and weekend hours to support recruitment and admissions activities. Periodic early morning, evening, and weekend hours required in support of NSOE activities.


Work Performed



Direct recruitment activities of admissions officers, including self, to visit college campuses, participate in graduate and professional school fairs and career fairs, professional conferences, and virtual information sessions. Identify creative and engaging opportunities to reach and recruit prospective applicants, including diverse populations, target populations, and low enrollment program areas. Manage 3/2 program recruitment efforts. Initiate and implement annual recruiting and admissions plan, including consulting with faculty program chairs and utilizing data to support decision-making. Direct coordination of admissions email inbox, and communication talking points/templates. Lead Admitted Students Visitation events and implement an anti-melt plan. Collaborate closely with Student Services team, as well as staff across various Nicholas School departments, to support recruitment and admissions efforts.

Maintain proficient knowledge of degree offerings and program area highlights to effectively communicate and recruit for programs. Ensure team has appropriate knowledge base to effectively recruit. Maintain awareness of peer programs requirements, offerings, and key dates.

Work closely with NSOE Registrar and Director of Career and Professional Development Center.


Work in coordination with Assistant Dean on financial aid programs, evaluation, and communications. Support merit-based aid and need-based aid decision and implementation process along with senior leadership. Assign merit-based awards to appropriate candidates.

Ensure notification of financial aid to all admitted students in a timely manner. Counsel applicants regarding financial aid opportunities.



Manage admissions process including accurate, holistic, and timely review of applications; analysis of applicant qualifications; review of all admissions recommendations and interviews, initiating further review with Associate Dean and faculty as necessary; coordination with Duke professional schools for concurrent degrees; notification to applicants of admissions status in a timely manner; and coordination of all communications with applicants and admitted students. Review decision rubric and reader training materials annually. Ensure on-time launch of application as well as on-time decision release. Establish policies and procedures for reviewing applications and admitting applicants; hire and supervise application readers; approve final admissions decisions and notify applicants of decisions. Manage deferral requests and process. Consult with Registrar related to transfer of responsibilities between admitted and matriculated student process, as well as pre-requisite process.


Confer with key faculty regarding admissions criteria, admissions decision points, and data sharing information. Work with faculty to understand critical key program talking points, program value, and admissions requirements. Consult with faculty for significant admissions policy changes, as appropriate.

Maintain and communicate key recruitment and admissions data, often in collaboration with other senior leadership members. Develop post-admissions summary reports and other critical reports. Develop data-driven communications at a defined frequency to key senior leadership to communicate status of recruitment and admissions, relative to historic data. Manage records according to FERPA and Duke retention policies. Maintain accurate historical data and trends for summary to senior leadership. Collaborate with senior leadership to collect, analyze and explain recruiting and admissions data to support future decisions and facilitate data requests from various parties.

Coordinate with and utilize faculty, students, and alumni to effectively yield admitted students. Collaborate with other teams and offices to support and achieve school goals.

Initiate and implement review and revisions of application materials, application system, and process ensure online application materials are accurate, timely and appealing. Work with the Student Information and Services System (SISS) office to ensure successful launch and implementation of application system. Collaborate with professional schools across campus for best practices.



Collaborate with the Communications and Marketing Team to: Initiate and implement annual review of web-based recruitment and admissions information to ensure accuracy and appeal; to develop collateral, annual communications plan, messaging needs for email, web, video, social media, etc.; to provide feedback on key marketing outlets for student recruitment, considering the audiences for each program.



Oversee all business facets of the enrollment services team and operations, including budget, personnel, technology, etc. Develop and manage budget associated with recruitment and admissions efforts.

Supervise and motivate team, and student workers. Oversee day-to day activities, direct workload and roles and responsibilities, provide performance feedback, manage promotions, transfers, disciplinary actions and vacation schedules. Consult with Associate Dean on job performance and new hires.

Support diversity, inclusion, and equity initiatives within the School, including withing enrollment services activities.

Support Student Services events including master’s project symposia, orientation, graduation, etc. Engage in team meetings, retreats. Serve as a key member of the leadership team within the Student Services Office.

Perform other related duties incidental to the work described herein.


Preferred Qualifications

· Experience and a commitment to student-centered, data-driven decision making and the ability to draw on collaborative relationships in building a successful base for university enrollment.

· Must have experience, proficiency using the Slate CRM to manage recruitment and admissions data, processes. Power user experience is preferred, a plus.

· Higher education experience is required. Enrollment services experience for professional/graduate programs is preferred. Demonstrated success recruiting underrepresented groups in STEM-related fields is a plus.

· Work requires proficiency in Word, Excel, PowerPoint, Qualtrics, email. Must be proficient with technology. Must have advanced proficiency in the use of spreadsheets and spreadsheet functions, data presentation.

· Demonstrated supervisory experience of managing and motivating full-time team members is required.

· Must exhibit clear and effective verbal and written communications skills.

· Must have experience working and communicating with faculty and senior leadership. Demonstrated experience working in a collaborative, supportive, high performing team.

· Familiarity with PeopleSoft is a plus. Must be proficient with technology.

· The ideal candidate will bring to this position leadership, creativity and initiative, as well as drive, attention to detail, a record of on-time recruiting and admissions processes.

· Strong organizational skills with attention to detail and follow-through, ability to produce quality work in a timely fashion, and manage multiple projects simultaneously are critical.

· Capacity to exercise independent judgment and maintain confidentiality.

· Financial aid experience is a plus.

· Requires flexible hours to support peak periods of admissions season. Must be willing to travel. Occasional heavy lifting required


Minimum Qualifications



Work requires a knowledge and understanding of college experience and program. student life as well as analytical, communications and organizational skills generally acquired through completion of a bachelor's degree




Work requires five years of experience in an academic/enrollment OR AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE services or a related area.
