Global Events & Oracle Studios develops and produces memorable experiences, in-person and digitally, that support Oracle's business worldwide. As part of our next phase of growth and development, we are looking for a Specialist, Event Business Management to support a range of business processes related to the production of our larger events/conferences.
About the Role
Reporting to the Director, Event Business Management, this role drives excellence in administrative and organizational processes through proficiency in systems and service orientation, as required by the production of our largest and most complex global event. Responsibilities range from financial and procurement process management to back-office production support, to business process review and maintenance, to process normalization and optimization, to strategic document management, and more.

The position can be based anywhere in the United States or Canada and will require some domestic and international travel (up to 25% of the time).
About You
This role requires a person that can handle multiple workstreams at once with a keen eye for detail, and accuracy. Strong organizational skills and the ability to work effectively across multiple teams and cultures are also crucial for this role, as is service orientation and a can-do, upbeat attitude.

You have outstanding communication skills with phenomenal interpersonal abilities, including good emotional intelligence and a growth mindset. You must be able to balance a rigorous approach with the realities of ever-evolving business requirements and must be able to operate effectively as part of a large virtual team.
Responsibilities
  • Assist with procurement, sourcing, and financial processes including purchase order creation and management
  • Support the Program Manager, Budgeting & Forecasting in the budget management process, including reviewing estimates, handling revenue and cost recovery reports, inputting data, running scenarios and forecasts, generating reports, supporting reconciliations, etc.
  • Assist in other processes managed by the Event Business Management team, including vendor sourcing projects, compliance documentation, sponsorship prospectus development and revision, business process development and maintenance, etc.
  • Partner with counterparts in the Event Portfolio, Event Production and Event Marketing & Communications teams to drive process alignment, standard methodologies sharing and co-ordination
  • Support data gathering and insight generation projects, such as internal surveys, research projects, competitive monitoring, cross-group initiatives, and other projects requiring project management
  • Participate in meetings and business reviews as the need arises
  • Foster an environment of accountability, collaboration, inclusion, positivity, innovative thinking, and winning as a team
Skills & Qualifications
  • 5+ years' experience of working in business analyst, production assistant or administrative position in an event or conference production environment, or as part of a marketing communications organization, or in the hospitality or live entertainment industry
  • Advanced knowledge of Microsoft Excel including advanced tools and formulas, complex tables, charts, scenario development, etc.
  • Good Microsoft PowerPoint skills

Assist in the development and execution of corporate event marketing programs.

Assists in all aspects of pre-event program needs including but not limited to vendor selection and management, budget development and approvals, event registration and demand generation, venue selection and management (F & B, operations, etc.), event creative concept design and production. Manages all aspects of on-site event execution either directly or through outsourced vendors. Manages all post-event activities including development and execution of follow up plans for event attendees, uploading and tracking leads, wrap-up reports etc. Ensures that programs are executed successfully, efficiently and on budget so that customers experience a high degree of satisfaction in attending the event.

Duties and tasks are standard with some variation. Completes own role largely independently with some assistance and guidance within defined policies and procedures. 2 years relevant experience. Marketing experience in the IT industry desired. Professional credentials in Marketing, Academic credentials desirable. Past experience in marketing, or event production/execution desirable.
