CBRE Global Workplace Solutions is a leading global provider of integrated facilities and corporate real estate management. We are recruiting a Facilities Administrator to join the team located in London.

The successful candidate will be responsible for all aspects of administration duties in support of the Operations team.

Role Summary:

•Provide admin support at FM and Vendor meetings with minutes ensuring they are issued in a timely fashion and all actions are closed

•Support with the administration of workplace inspections

•Support FM Management with management of SharePoint ensuring it is updated and all information is relevant and in date

•Support with the raising, printing, and receipting of purchase orders and monthly forecasting

•Support FM team with the maintenance of LOB distribution lists

•Day to Day monitoring of all helpdesk Work Orders including redirections

•Manage & maintain waiting list & allocations list for all car park and cycle parking

•Notifications of joiners & leavers to HR for payments

•Update and issue of revised parking schedules to security

•Ad hoc requests and communications to car park users

•Monitor and update site signage, as identified following FM Coordinator daily/weekly walk rounds

•Update presentations, weekly/monthly minutes as and when required

•Work notifications to LOB leads

•Daily updates of ACR (Access Control Requests) for vendors and tenants

•Monthly deletions and audits of ACRs

•Booking of event space and supporting rollout and enquiries

•Daily monitoring of helpdesk trends

•Weekly loading of FM Hazards

•Weekly collection and loading of SDS (Secure Destruction Certificates)

•Holiday coordination for FM team

•Additional duties as and when required

Experience Required:

•Self-motivated with good written and verbal communication skills

•IT literate with strong experience of working with Microsoft Word, Excel and Powerpoint software

•Able and flexible handling a wide variety of items on a daily basis

•Ability to work under pressure

•Customer Service skills

•Able to communicate with all levels of staff in a polite and efficient manner

•Reliable and conscientious worker willing to learn and develop new skills and adapt to new working environments

•Ability to prioritise workload to effectively meet deadlines

•Strong proven Customer Service experience
