Senior Staff Assistant- NTID Office of External Affairs 6059BR National Technical Institute for the Deaf NTID Office of External Affairs Detailed Job Description There are two primary job responsibilities of the Senior Staff Assistant. The Assistant will be responsible for assisting in the planning and execution of special events at NTID (guest speakers, conferences, receptions, etc.) and events and activities planned as part of the work performed by the NTID Office of External Affairs. This will include assisting with events sponsored by Constituent Relations, Development, the NTID Regional Representatives, Dyer Arts Center, Athlete Development Program and Panara Theater. Responsibilities will include managing event planning logistics, development of event marketing strategies, assisting at events, special handling of VIP event attendees, and completing event follow-up activities. The Assistant will have responsibility for all budgets managed within the NTID Office of External Affairs. These include the Development, Constituent Relations, Business Operations, Dyer Arts Center, Panara Theater, Athlete Development Program, Regional Representatives and Special Events budgets. The Assistant will be responsible for processing all payments, journal entries, managing fiscal year-end activities, etc. The Assistant will provide monthly budget reports to the Executive Director of External Affairs and will work in close collaboration with NTID Office of Finance and Budget. Department/College Description The mission of the NTID Office of External Affairs is to provide institute leadership in high quality and coordinated engagement of alumni, parents, retirees, corporate partners, community organizations, partner not-for-profits and other organizations. Through its work, the office will (1) increase philanthropic support of the institute, (2) identify and grow revenue generating programs through contract work with corporations and other organizations, and (3) build a network of partners to increase nationwide visibility and assist NTID is realizing its enrollment, employment, constituent engagement and research goals. Specific areas of oversight include: Development Business Operations (automatic speech recognition corporate module contracts; NTID Studios contracts, and others) Constituent Relations (alumni, parent and retiree relations) Special Events (responsibility for major special events, speakers and conferences) Arts & Athletics (Dyer Arts Center, Panara Theater operations, NTID Athlete Development Program, MorphEyes Studio) Regional Representatives (Northeast, Southwest, Midwest, California) RIT ASL and Deaf Studies Community Center Required Minimum Qualifications Well organized and the ability to manage multiple tasks simultaneously Strong skills in event planning and execution Ability to develop and execute innovative event marketing strategies Sophisticated interpersonal skills and ability to work effectively with diverse audiences and major gift donors Ability to work effectively in a dynamic, fast-paced environment Familiarity with CRM and financial management systems Ability to manage budgets, including processing of payments, journal entries and coordination of fiscal year-end activities.
