This position provides clerical services for the Student Accessibility Services office.  Duties and responsibilities include receptionist duties, general office functioning, accessible testing arrangement, medical parking, budget maintenance and databases. Works with a team of clerical staff in an office serving 700 students with a wide range of disabilities at various campus locations.   Supervision Received Reports to Director and the Associate Director of Student Accessibility Services   Supervision Exercised: May supervise work study students.   Duties and Responsibilities: 1.Provides receptionist services such as greeting and directing people, replying to email inquiries, answering telephone  calls, providing general information on Student Accessibility Services and scheduling appointments for office staff, and providing quality customer service to students, faculty, staff, and visitors. 2.Provides clerical support for the implementation of student accommodations, including, but not limited to: The accommodated testing process that includes, scheduling test appointments, assigning proctors, processing exams, and maintaining communication with department, faculty, and students. The peer notetaking process that includes, data entry, database query, budget processing, and communication with staff and students. 3.Maintains, updates, and extracts information from document dropbox, databases and office files for in-person and virtual services. 4.Updates and provides assistance to office staff using Microsoft Office 365 and Teams. 5.Assists with supporting budgets for office support staff by monitoring hours of proctors/notetakers/readers/scribes, assisting with schedules, and reporting to Director. 6.Distributes and monitors the distribution of medical parking permits. 7.Maintains office supplies, prepares requisitions to replenish supplies, checks with vendors on supplies and monitors receipt of supplies. 8.Operates and monitors use of office machines and equipment such as copy machine, printer, and transfers hard copy documents to electronic files. 9.Performs miscellaneous office duties as assigned such as preparing mass mailings, keeping routine office records, and creating flyers/handouts/invitations. 10.Oversees office equipment inventory and loaning of equipment through Student Accessibility Services. 11.Assists with training, supervising and monitoring work-study students in their office duties. 12. Actively supports the teaching and learning process; practices honesty and integrity in and out of the classroom; strives to create and support a student-centered environment while fostering academic innovation and excellence. 13.Works actively with other areas of the college to ensure a spirit of college wide collaboration, collegiality, civility, and teamwork.  Respects the function of dissent in an academic institution while advancing a collegial atmosphere of campus collaboration. 14.Embraces the ideals of diversity and inclusiveness and supports the equal rights of all people by advancing the understanding and appreciation of differences including age, race, gender, ability, religious convictions, socio-economic status, ethnic heritage, or sexual orientation. 15.Provides flexible, responsive and high quality service to all, be they students, community, or staff, and continuously assessing processes and procedures and revising accordingly. 16.Performs other duties as assigned Job Requirements: Minimum Qualifications 1. Applicants must have at least (A) two years of full-time, equivalent part-time, experience in office work, or (B) any equivalent combination of the required experience and the substitutions below. Substitutions: A diploma as evidence of graduation from the commercial or business course of a recognized high school or vocational/technical high school may be substituted for a maximum of one year of the required experience. A diploma as evidence of graduation from a course other than the commercial or business course of a recognized high school or vocational/technical high school or possession of Massachusetts high school equivalency certificate may be substituted for maximum of eight months of the required experience.* A diploma for completion of a one-year, or equivalent part-time program, in a recognized, non-degree granting business or secretarial school above the high school level may be substituted for a maximum of one year of the required experience*. A diploma for completion of a two-year, full-time, or equivalent part-time program in a recognized non-degree granting business or secretarial school above the high school level may be substituted for the required experience. *   Preferred Qualifications Ability to work effectively with diverse populations, cultures, and demonstrated ease in working with and communicating with individuals with disabilities. Ability to function in multi-tasked role with shifting priorities and attention to detail. Strong organizational skills and the ability to prioritize and manage the digital workflow. Advanced knowledge of Microsoft Office 365, Access, PowerPoint and office-based software applications. Experience with extracting and inputting information from database management tools.
