JOB TITLE: Circulation Supervisor

DEPARTMENT:  University Libraries

REPORTS TO:   Access Services + Music Librarian

Summary:

The Circulation Supervisor oversees the day-to-day operations of the University Libraries’ circulation desk, which provides library services to a diverse population of students and faculty across the visual and performing arts, as well as in general education. They provide leadership, supervision, and training for a staff of Library Technicians and student assistants. They look after the library’s public spaces, including stacks maintenance, signage, and overall patron experience. They provide a high level of customer service to library patrons and help resolve issues patrons may have in using the library. They communicate with the university community, including via social media.

Essential Duties & Responsibilities:

Supervisory Responsibility           

Supervises and trains circulation assistants and other library staff in daily circulation activities.

Schedules, trains, supervises, and evaluates circulation and student assistants in shelving and collection maintenance, and maintains appropriate records on student work. Contributes to student and staff training materials. Instructs regular library staff in stack maintenance procedures, as needed.

Maintains circulation desk schedules; posts schedule changes to calendar.

Writes and updates web-based circulation manual(s).

Public Service

Circulates materials using both computer and manual processes to patrons at the Greenfield Library circulation desks.

Answers directional and informational questions from patrons and refers reference and other queries to professional librarians as appropriate.

Assists patrons in the use of computer catalogs and indexes, and audiovisual equipment and collections; provides appropriate routine emergency and preventive maintenance, and reports malfunctions of equipment.

Assists patrons with photocopying and printing, provides routine maintenance and cleaning for photocopy machines, and reports usage and malfunctions.

Assists Reference Librarian with interlibrary loan processes.

Responsible for administering 25Live booking requests and OnBase patron updates. o Supervises and trains circulation assistants and other library staff in daily circulation activities.

Collection Management  

Directs stack maintenance activities including proper shelving and handling techniques, shelfreading and cleaning library materials, and training and supervising student assistants.

Plans and supervises shelving shifts, cleaning and other projects relating to the physical location and condition of the collections.

Financial and Management 

Collects fines, membership dues, and conducts other appropriate financial transactions at the circulation desk.

Maintains web-based circulation desk procedures manual o Maintains organized files, whether paper or electronic.

Convenes and sets agendas for meetings of the circulation staff in consultation with the Access Services and Music Librarian.

Attends library staff and other meetings of standing and ad hoc library groups.

Develops and maintains effective methods of communication with patrons, circulation staff, and other library and university staff.

Maintains an adequate supply of departmental supplies and prepares supply orders in a timely manner.

Compiles reference and circulation statistics into monthly reports submitted to directors.

Education:

Significant college coursework, with an associate’s or bachelor’s degree preferred. Some educational experience in the arts is preferred.

Experience:

At least two years of library experience preferred; or the equivalent experience and training which provides the required knowledge, skills, and abilities.

Ability to lead and motivate regular and student staff in provision of effective and appropriate circulation services and collection maintenance activities. Able to exemplify excellent customer service.

Ability to establish and maintain effective working relationships with peers, supervisors, staff, and library users.

Ability to insure through supervision and leadership a friendly, responsive, and productive work and public service environment.

Ability to communicate facts and ideas orally and in writing.

Ability to use a computer effectively, including typing skills.

Ability to use such software such as Google Apps and Adobe products desirable.

Familiarity with social media applications and institutional best practices.
