STS Technical Services is hiring Operations Specialists across the United States for remote employment opportunities.

Educational Background / Experience:

  • Minimum High School Diploma/GED; Associates Degree or higher Preferred
  • Beginner to Intermediate skills with Microsoft Outlook and Excel

Nature of Work:

  • Provide administrative support to Customers, Staff, and Contract Employees.

  • Must demonstrate excellent organizational and follow-up skills.
  • Must be assertive and able to effectively converse with internal and external employees.

  • Must demonstrate initiative by administering and tracking projects and reporting progress.
  • Must work with sense of urgency.

Classification:

  • Non-Exempt Hourly – Full Time Regular

General Responsibilities:

  • Complete and Maintain Onboarding Documents for new and existing contract employees
  • Send, collect, review, and file Onboarding Documents, including completion of E-Verify
  • Enter New Contract Employees and Maintain existing Contract Employees in Bull Horn
  • Update Onboarding Tracker Daily
  • Maintenance of Operations Department email inbox and phone calls
  • Answer phone and provide answers; request assistance from Management as needed
  • Categorize and flag all incoming emails
  • Mark flags as complete when task is finished
  • Complete tasks within designated time frame based on category
  • Escalate all items to Management as needed
  • Follow up on all items until fully resolved
  • Manage Collection of Weekly time cards and Expenses for all Contract Employees
  • Save timecards and expenses to shared Timecard folder
  • Contact Contractors, PM’s, BDM’s, and/or Client POC as needed to collect missing timecards and/or approvals as needed
  • Update time card tracker as each employee’s timecard is collected.
  • Notify Payroll of timecards and/or expenses collected after weekly deadline.
  • Collect, Review, and Distribute Office Mail to corresponding POC as needed

Advanced Responsibilities:

  • Close Assignments in Avionte and Complete Exit Interviews for all termed Contract Employees
  • Reference Term Notification emails and Terms Report for details
  • Regular Follow-Up with Employees, including verification of current contact information
  • Complete 30/60/90 day Follow-Up with all new hires
  • Complete recurring Follow-Up with all Active Contract Employees every 6 months
  • Contractor Care Quarterly Newsletter
  • Create and Distribute Contractor Care Quarterly Newsletter (every 3 months)
  • Request Input from Management prior to distribution
  • Maintain Contract Employee PTO and Holiday Tracker; Distribute Weekly
  • Maintain and Distribute Client Reports as needed
  • Worker’s Compensation (WC)
  • Verify WC Codes for all new hires prior to start date
  • Maintain Verified WC Codes List
  • Maintain Active Worksite Report, Distribute to Corporate POC Weekly
  • Review WC Codes on all Active Employees Monthly
  • Process and track all Worker’s Compensation (WC) and Defense Base Act (DBA) Claims
  • Send out Client and Employee documents for completion as soon as notified of injury
  • Speak with injured employees within 24 hrs of notification
  • Ensure post-accident drug screen is completed within 24 hrs of injury
  • Communicate with Corporate for processing of claims with insurance carrier
  • Send all work-related injury invoices to Corporate for processing
  • Maintain WC and DBA Tracking Report, Distribute Monthly
  • Client Specific Certificate’s of Insurance (COI)
  • Request Client Specific COI’s from Corporate as needed per Client Requests
  • Review COI’s from Corporate against Client COI Request Specifications
  • Maintain current COI’s in Shared Folder
  • Request updated COI’s for all current clients prior to expiration of policies
  • Book Travel for both Staff and Contract Employees (Flights, Hotels, Rental Cars) as needed
  • Notify Traveler(s) of any changes to itinerary
  • Assist with Corporate Credit Card Reconciliation as needed
  • Other Duties as Assigned
