The Administrative Associate III will be responsible for: 
  • Transcribes and types correspondence, forms, reports, manuscripts and other materials involving complex scientific, technical and/or specialized terminology from recorded dictation or rough draft. Prepares documents requiring stylized formats and lettering or graphics using specialized software such as desktop publishing or graphics packages. Proofreads and edits materials for grammar, punctuation and spelling.
  • Answers, screens and routes calls, and greets and directs visitors and staff. Provides routine information within scope of knowledge and authority. Receives, screens and drafts responses to correspondence.
  • Schedules appointments and meetings and maintains calendars for physician/supervisor(s). Reserves meeting locations, orders supplies and equipment and prepares agenda and other materials. Prepares travel arrangements. Assists in organizing and scheduling conferences, seminars and other programs or events.
  • Collaborates with referring providers/practices including collecting outside medical records and images as needed
  • Maintains physician schedules and communicates to appropriate teams
  • Performs routine clerical duties, such as opening and sorting mail, delivering and retrieving patient records, photocopying materials and sorting, collating and distributing documents.
  • Maintains physician licensure and hospital appointments- initial applications as necessary and all renewals
  • Maintains physician Curriculum Vitae (CVs)
  • Maintains departmental/physician files, records and databases. Enters information from source documents into databases and/or spreadsheets, compiling, printing and distributing reports, mailing labels and other information as needed.
  • Prepares, routes, and tracks routine administrative forms and documents. Route materials for required authorizations and monitors receipt by final destination.

To qualify, you must have: 
  1. Work requires a high school level of educational development and two years of administrative experience.
  2. Work requires in‑depth knowledge and understanding of the department and hospital programs, policies, procedures and information related to his/her functions and services.
  3. Work requires initiative in improving operations within area/department, and the ability to assists in implementing changes.
  4. Must have excellent written and oral communication skills

Please note: During a public health emergency, individuals in this role may be expected to take on additional duties to respond to organizational needs.
