Job Summary and Qualifications

The Administrative Assistant II performs secretarial duties for department heads.

DUTIES INCLUDE BUT NOT LIMITED TO: 

  • Provides secretarial support including typing, composing and proofreading correspondence, indexing and filing documents. 
  • Answers inquires or refers callers/visitors to appropriate individuals. 
  • Compiles reports from data and existing records. 
  • Gathers information and develops summaries as requested. 
  • Assists with development and implementation of budget and operational plans. 
  • Develops and implements office procedures related to coordination of interoffice communication, records, system. 
  • Ensures adequacy of office supplies and equipment. 
  • Schedules/coordinates meetings, appointments. Make travel arrangements. 
  • Assists other staff as requested. 
  • Attends meetings as assigned and reports on actions. 
  • Participates in educational activities and programs. 
  • Maintains strictest confidentiality. 
  • Performs related work as required. 
  • Maintain appointment calendars as needed. 
  • Practice and adhere to the “Code of Conduct” philosophy and “Mission and Value Statement”.

What qualifications you will need:
  • High School Graduate/Equivalent or Associate degree in business administration or secretarial program is preferred. 
  • Three years of secretarial experience including one year in a health care organization. 
  • Additional appropriate education may be substituted for secretarial experience.
