Bentley University Bentley Campus Job Description Summary The Administrative Assistant is a key position in the Office of Financial Assistance as it is the first point of contact for new and continuing students and parents. The Administrative Assistant provides a welcoming environment, greets visitors in person, by phone, and by email and makes decisions on how to handle inquiries, which are either addressed by the reception staff or referred to a counselor or other office at the university. The financial aid process is often complicated and confusing, so it is important that the reception staff provide excellent customer service, reassurance and follow-through. The Administrative Assistant also provides general office support with the variety of clerical activities and related tasks and is responsible for providing training, feedback and guidance to the reception student workers on office policies and procedures. Because sensitive documentation and/or information is received on daily basis, it is imperative to adhere to privacy and confidentiality related procedures in place. All documentation dropped off must be handled appropriately and kept securely. In addition, all publications, forms and correspondence should be proofread before the information is released to the general public. Essential Duties Answer questions from students and parents on general financial aid required documents and deadlines. Maintain the general office email account, providing responses or referrals. Prepare weekly updates of traffic in the office from telephone calls, appointments and walk in traffic. Date stamp, sort, and copy to the imaging system required forms submitted by students and families. Hire, train, and manage the reception area Work-Study Staff. The Administrative Assistant also assists with student employment and the records area, as needed. This position is also responsible for ordering office supplies for the Department and completes various projects as assigned. Minimum Qualifications High School Diploma. Experience in a fast-paced office environment with typing, data input, and customer service skills. Work Environment The Administrative Assistant's and students' workstations are located in a busy area of the office that is typically subject to constant foot traffic. Staff must be able to focus on tasks in an interruption-prone environment. Typical office setting with extensive sitting and computer work. Speed and accuracy in typing skills is imperative. There is an occasional necessity for lifting of boxed supplies and reaching to high shelves for supplies.
