ESSENTIAL FUNCTIONS:

  • Work together with administrative staff in support of department goals and objectives
  • Department coordinator to support accreditation (IACET) compliance guidelines are maintained
  • Renewal of IACET application and preparation for IACET site visitor audit for Stiles Education IACET accreditation and compliance documentation
  • Invoice preparation and administration of department financial records, sales lead commissions, accounting adjustments, monitoring of monthly expenditures
  • SU SMILE administration of course information and related marketing information
  • Coordinate special project events within department
  • Responsible for the development and maintenance for accurate course and faculty information reflected on the Stiles University area of the stilesmachinery.com web pages.
  • When the department requires additional assistance from other departments or through contract temporary staffing, oversees the training to assume daily tasks and provide assistance with special projects. The position also requires assisting in the training of contract, adjunct or new faculty members on department policy and procedures.
  • Assist with Stiles University hospitality
  • Assist department personnel with duties that may arise


QUALIFICATIONS

  • Bachelors Degree or equivalent business administrative experience
  • Minimum of 5 years of increasingly responsible administration and clerical experience


SKILLS & ABILITIES

  • MS Office (Word, Excel, Access, PowerPoint, Outlook, Publisher), SMILE, SMILE.NET, SMILE SIS output, Zetafax and Adobe products.
  • Excellent written and verbal communication skills
  • Well developed organizational skills
  • Strong ability to create presentations and other department documentation
  • Able to work with others and independently as a professional
  • Strong initiative with ability to problem solve and assess situation to create solutions
  • Financial skills to manage & create department invoices, oversee general ledger for auditing purposes
  • Ability to influence non-direct reports
  • Ability to handle many details and maintain accurate records
  • Ability to interpret data, create reports, programs, and policies
  • Flexibility to multi-task on a wide variety of daily requirements while handling special projects
  • Ability to learn proprietary systems as required
