Provide executive level secretarial support for Associate Dean of Clinics, College of Dentistry and Clinic Administration. In-person presence is critical for this position. Greet visitors and direct them to the appropriate department or individual. Receive inquiries relative to all aspects of Clinic Administration. Exhibits professionalism, confidentiality, and discretion in obtaining and providing factual and confidential information. Answer phone, take messages, check voicemail. Make copies and scan documents for Clinic Admin staff. Manage administrative and patient-care schedules for Associate Dean of Clinics and Director of Clinics, including Outlook calendar and Axium provider schedule. Attach "Recalls" to appointments in Axium report. Arrange meetings, book rooms, prepare agendas and take/distribute minutes. Organize multiple department activities and special events (schedule room, order food, etc). Coordinate calendars of Associate Dean and multiple administrators. Facilitates travel requests and TEV's where needed. Assist with annual regional dental board examination hosted by College of Dentistry, working closely with the Iowa Dental Board and dental board examiners. Book conference rooms and handle other event needs. Provide assistance as needed the day of the exam(s) - may occur on weekends (twice/year). Maintain and file documents and communication for the Associate Dean of Clinics and the Director of Patient Care, both hard copies and electronic files. Responsible to update and maintain Clinic Admin distribution lists, such as FGP, Front Line Staff, etc. Assist with compliances with various policies and procedures. Analyze and monitor information and reports. Reconcile Associate Dean's and Departmental P-card expense monthly. Run AxiUm reports on behalf of Clinic Admin. Organize and order office supplies as needed. Assist with provider credentialing process. Distribute parking passes for patients and Adjuncts as appropriate and per collegiate policy/procedure; monitor parking pass log for discrepancies. Other duties and responsibilities as assigned.
