Occupational Summary


Provide a variety of administrative duties in support of a large Division Chief within the School of Medicine. Apply advanced knowledge and skills to routinely resolve complex administrative problems independently or with others. Work generally requires knowledge of basic mathematical, research, and communication principles normally acquired through two years of post-secondary education.


Work generally requires four years of progressive clerical or project management experience to acquire strong skills in administrative, project management and/or basic research responsibilities as well as accepted office management, communications, and research practices.


Work Performed

  • Gather, prepare and submit proper documentation for clinical privileges, renewal of privileges, lifting provisional privileges and requesting additional privileges when appropriate to the Medical Staff Credentialing Office.
  • Responsible for orientation, training and supervision of division staff assistants.  Coordinating and overseeing duties and responsibilities to ensure divisional needs are met. Review and make recommendations for division expenses with the Division Chief and Dept Finance Manager for the annual School of Medicine budget process.
  • Manage, review and reconcile expenditures related to division funds.  Oversees all expenditures including dues, license renewals, travel and reimbursements and ensures that expenses are complying with Duke policy. 
  • Assist division director-special projects and requests such as planning and coordinating divisional events, coordinate and attend monthly 7am division meeting and take minutes.
  • Administer programs related to academic, education and research mission, and committees for division chief as the division chief.  Assist with former fellow/provider evaluations and references.
  • Help with creation of monthly schedules, transfer Qgenda requests for 25+ providers to schedule, enter all provider assignments in Qgenda once schedule is complete, maintain monthly schedule and Qgenda with edits, changes, switches, write/edit letters and other correspondence.
  • Calculate individual provider call and backup pay and submit for payment on a quarterly basis. Complete and submit compliance reports monthly.
  • Supervise and assist in delegated tasks, working with administrative assistant(s) to assure MFM provider housekeeping is maintained, dues are paid, re-credentialing is done in a timely manner, licenses are renewed (NC med and privilege).
  • Ensure reimbursements and travel are processed through Concur system, CME excel sheets are maintained, calendars are kept up.
  • Write/edit letters and other correspondence.
  • Responsible for upkeep of various lists-keys, parking, Lakeview card access.




Minimum Qualifications




Work requires a general educational background normally equivalent to a full high school education plus two years post secondary education in a business related field.




Work requires four years related office, business or administrative experience to become familiar with general office practices and the coordination of major office activities. A bachelor's degree in a business related field may be substituted for 2 years of experience.   OR ANY OTHER EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE.
