The Benefits Specialist will be responsible for assisting with the administration of all benefits, wellbeing, retirement programs and leave escalations for the US and Canada: medical, dental, vision, FSA, life, short- and long-term disability, leave of absence, 401(k) and RRSP. They will also assist with various other HR functions.

Leave of Absence Coordination
  • Point of contact for company's third-party leave administrator and escalations
  • Understanding of FMLA, PFL, ADA, STD, LTD, PTO, Personal and Parental Leaves including Canadian leave requirements
  • Manage employee leave status in HRIS system for managers and payroll
  • Manage COBRA status for non-protected leaves
  • Process worker compensation claims in coordination with OSHA
Benefits Administration
  • Primary contact for maintaining and administrating benefits programs in partnership with benefits vendors (carriers, brokers, internal HRIS team etc.) for the US and Canada. Research, troubleshoot, and resolve benefit escalations and inquiries
  • Responsible for communicating company benefits and enrollment process to newly benefits eligible employees including approval in the HRIS and management of EOI
  • Collect and manage Life Events changes including calculation of retro-premiums for the payroll team
  • Assist in the annual open enrollment process. Perform audit as necessary
  • Responsible for the ACA monthly tracking process and communication to employees
  • Manage manual eligibility files as needed for in house employee benefits
  • Ability to support the FSA discrimination testing process in partnership with vendor
  • Process monthly commuter deduction files and HRA reimbursements for payroll
  • Manage COBRA subsidies and troubleshoot issues with vendor
  • Audit and reconcile benefits vendor billing invoices
  • Ability to respond to general Retirement plan inquiries for the US. Support the enrollment process for Retirement offerings in Canada
  • Assist with data collection for annual audits
  • Ensure company's intranet as it relates to Well-being and Benefits information is current
  • Any and all other job duties as assigned

  • Support the planning, implementation and coordination of various events such as Well-being Initiatives
Candidate Profile
  • Must be good with numbers and have strong quantitative analysis background
  • Must be analytically inclined
  • Detail-oriented
  • Great communication skills
  • Strong Ethics and Discretion
  • Relationship building and management skills
  • Bachelor's degree, preferred
  • Minimum of three years' experience in employee benefits procedures, leave of absence administration and five years HR experience
  • Technical proficiency: Microsoft Office (Excel, PowerPoint, Word) and HRIS experience with UltiPro and Workday a plus
  • Knowledge of FMLA, PFL, CFRA, ADA, STD, LTD, company paid parental leaves, Workers Compensation and OSHA
  • Strong ability to effectively manage multiple priorities and tasks simultaneously with close attention to details
  • Demonstrate and apply functional benefits knowledge to solve problems and identify opportunities for improvement
  • Ability to handle confidential information professionally and escalate issues when appropriate
  • Proactive team player with excellent communication, interpersonal and analytical skills
  • The employee will be exposed to a fast-paced environment and is expected to be able to adjust accordingly
