Job Summary: Under general direction, performs various duties in support of the Research Innovation Group (RIG) within the Office of the Vice President for Research. The Contracts Assistant works closely with the Contracts team in RIG Â to accelerate the review, negotiation, and execution of research-related agreements by reviewing incoming contract packages for completeness, monitoring the lifecycle of research agreements and keeping key stakeholders notified of pertinent developments, Â monitors agreement termination dates, acting as the primary administrator of the universitys contract management system, and serving as the initial point of contact for all general inquiries related to research contracts. Job Duties: Reviews incoming contract submissions for completeness and availability of necessary information and solicits additional information from interested parties when necessary. Assists the Contracts team in preparing and tracking research contracts. Â Acts as the initial contact for general inquiries, which includes the maintenance of the Contracts teams general email account and answering and/or redirecting queries from research community or external contacts as necessary and appropriate. Maintains required written documentation and correspondence in the Universitys contract management database (Agiloft), and regularly updates Agiloft with pertinent developments. Monitors contract termination dates, renewal and cancellation deadlines in Agiloft. Acts as an administrator in Agiloft, which includes assisting the research community with account-related inquiries and requests. Assists the Contracts team in developing and implementing procedures to facilitate the efficiency and effectiveness of the Contract teams output; performs periodic reporting as requested by Contract Manager. Â Provides additional support to the Contracts team by performing a variety of office processes and procedures, including drafting correspondence, word processing and document formatting, assisting in handling and processing of standard research contracts, preparing and circulating contracts for signatures, sending follow-up emails as appropriate. All other duties as assigned. Knowledge, Skills, and Abilities: Ability to communicate professionally, clearly, and concisely with members of the University community and external parties in varies contexts Proficient computer skills, including significant experience and strength using Word, Outlook, Excel, Adobe Knowledge of Agiloft, Trello, and DocuSign is preferred Strong organizational skills Ability to maintain confidentiality Ability to work independently with minimal supervision to meet deadlines and productivity standards Ability to pay close attention to detail, including under deadline constraints and changing work priorities Complete work assignments logically and accurately Experience working in a higher education setting or previous contracts experience is preferred Minimum Qualifications: High School Graduate required; Bachelors degree preferred; supplemented with one to three (1-3) years of experience.
