Job Description

The Senior Executive Assistant is responsible for providing full administrative and logistical support to the Chief Legal Officer and Corporate Secretary, and supporting her direct reports as needed. The Senior Executive Assistant will interface with a wide range of internal and external constituents so experience working with C-Suite executives, board of directors, and outside counsel is required.

Job Tasks:
  • Responsible for preparation and compilation of materials for board of directors and committee meetings (5x year);
  • Use initiative and good judgment to ensure that matters requiring attention are referred to delegated authority
  • Monitor and maintain schedule to ensure that the Chief Legal Officer's time is spent in a most efficient and productive manner
  • Serve as liaison between the Chief Legal Officer and all levels of the management team, other departments, and external partners
  • Prioritize and track commitments and tasks to completion
  • Develop and/or edit PowerPoint presentations and Excel tables/charts
  • Periodically arrange and oversee on and off site events
  • Perform a variety of administrative duties including:
    • Calendar management, including scheduling meetings and resolving schedule conflicts
    • Set up meetings, including WebEx, and tele/video conferencing
    • Process check requests, expense reports, and PCard transactions
    • Arrange complex travel and business itineraries
    • Process email requests
    • Prepare, modify, and/or proofread documents, including meeting agendas, meeting materials, correspondence, articles, reports, and memos
    • Review or coordinate documents for signature
  • Manage and carry out special projects
  • Collaborate with executive assistant team members to exchange ideas, share best practices. Contribute to special assignments and activities as required
  • Perform other duties as requested or required
  • Act with integrity and maturity, and present a professional image at all times

Minimum Education/Certifications:

Preferred Education/Certifications:

Bachelor's Degree preferred

Minimum Experience:
  • At least eight years of related executive experience supporting either CEO, Board Chair or CLO/Corporate Secretary is required.
  • Corporate Governance and/or Legal experience is required.

Preferred Experience
  • Experience utilizing electronic board book platform, e.g. Diligent, BoardVantage
  • Proven proficiency in 2013 MS Office Suite.
  • Must be able to master software applications and technology quickly.
  • Knowledge of audio visual and online meeting tool is required.
  • Must possess project management skills.
  • Must possess effective verbal/written communication skills and excellent interpersonal skills.
  • Must be reliable, detail-oriented, and self-motivated team player.
  • Must be able to prioritize, multi-task, and meet deadlines in a changing environment.
  • Must be able to work under limited supervision.
  • Must be able to handle confidential matters with discretion.
  • Must be able to use a high degree of tact, diplomacy, and sound judgment when interfacing with all levels of internal and external customers.
