Experience with personnel management and supervision Experience coordinating travel arrangements Experience with Microsoft Office Suite Experience managing and tracking multiple projects Job Description: The Apparel, Events and Hospitality Management (AESHM) department in the College of Human Sciences is seeking qualified candidates for an Administrative Assistant II to implement the departmentâ??s mission and strategic priorities. The person in this position will provide leadership, management, execution, organizational and operational administration, special project coordination, and direction of the day to day operations for the department as well as provide executive level assistance to the Department Chair. This position will be required to act on behalf of the Chair in assignment of routine and special projects to appropriate faculty/staff members and committee members. The incumbent will act as a liaison between the Chairâ??s office and the administrative offices for the university, faculty/support staff, alumni, and the public; respond to requests and inquires on behalf of the Chair; and resolve diverse problems/situations that arise. The incumbent may review mail and make judgments to redirect or compose a response on behalf of the Chair. Administrative - 60% Oversees, with the department chair, the administration of the AESHM department as Office Manager, which includes Graduate Students, Undergraduate Students, Accounting, Walk-ins and phone inquiries for department. Oversees special projects as assigned. Coordinates the Chairâ??s calendar, including determining the necessity for meetings, collecting appropriate information and materials and briefing the Chair as necessary. Manages the Chairâ??s and Departmentâ??s numerous files related to meetings/committees, preparing facilities for meetings, preparing the Chair for meetings, initiating follow-up for meetings, and other commitments as needed. Coordinates internal and external functions, i.e., department meetings, retreats, alumni and advisory visitors. Monitors and maintains all items in the Chairâ??s outbox. Coordinates external/internal communications with the Chair through email, newsletters and social media. Researches and analyzes data to prepare reports for the Chair such as faculty load reports, faculty performance evaluation reports, scholarship reports, and other reports as requested from Chair and College and University administration. Gathers and analyzes data such as enrollment history, student credit hours, and budget model data regarding revenues/expenses, grant activity, FTE data for accreditation. Department Committees and Other Services â?? 20% Provide support to the departmentâ??s leadership team including the associate chairs and program directors for the three academic programs. Provides ongoing service to the departmentâ??s executive advisory committees. Coordinates department visits of industry, alumni, and other stakeholders Supervision â?? 20% Supervises the departmentâ??s main office staff and student workers while encouraging a collaborative environment. Schedule and facilitate office staff meetings, direct assignments of work load, and approves requests for time off to ensure that the office is adequately staffed at all times. Conducts annual performance reviews for staff and semester reviews of students directly supervised.
