Job Type: Officer of Administration -- Bargaining Unit: Regular/Temporary: Temporary End Date if Temporary: 8/31/2021 Hours Per Week: 20 Salary Range: Commensurate with Experience   Position Summary     Reporting to the Program Director of the Advanced Architectural Design (AAD) Program of the Graduate School of Architecture, Planning and Preservation (GSAPP), the Program Manager is responsible for managing the daily activities of the program with a cohort of approximately 100 students. Manages a wide range of academic, administrative and financial matters to ensure compliance with University and GSAPP academic and administrative policies/procedures.   Serves as the program's main liaison to University central administrative offices, GSAPP administrative office, faculty, students, alumni, and the general public. Collaborates with University and GSAPP departments/offices to ensure the smooth operation of the program. Program Administration:   a)Working closely with the Program Director and Senior Associate Dean of Administration and Faculty Affairs, oversees the administrative and human resources functions of the Advanced Architectural Design Program including assisting the Program Director in determining personnel and addressing faculty concerns.   b)Works closely with the Senior Associate Dean for Administration and Faculty Affairs in the processing of documentation and the administration of faculty, staff, and student appointments; explains University benefits and policy.   c)Responsible for compliance with the University casual and support staff human resources policies, e.g., staff oversight, timesheet submissions, etc. Trains and manages workload for support staff and student workers.   d)Prepares all program materials for duplication, from program outline to faculty curriculum   materials. Works closely with the Program Director and faculty to oversee material production within scheduled deadlines.   e)Assists with graduation issues and logistics.   f)Manages and works with the Program Director on student course-related travel.   Budget:   a)Under the direction of the Senior Associate Dean of Administration and Faculty Affairs, is responsible for preventing overdrafts, recommends level of spending, works with the Finance Office in resolving financial problems, maintains financial reporting and control systems, monitors program expenses, and oversees compliance with University and GSAPP policies and procedures.   b)Serves as the main point of contact for faculty and is the liaison between AAD faculty and Finance.   Career Services:   a)Works closely with the Program Director to organize career education workshops (job or internship search strategies, interviewing skills, resume and cover letter writing, networking, etc.) tailored for the needs of Advanced Architectural Design students.   b)Establishes and maintains relationships with prospective employers, including alumni, to encourage the hiring of students.   c)Works with Career Services Office to organize recruitment events with prospective employers at the Program level. Develop and maintain student resume book/database.   d)Creates communication strategy that may include (newsletter, weekly email list serves) to post/advertise employment opportunities (full time and part time) as well as career related information.   e)Collects/analyzes accurate placement statistics, generate reports that will inform decisions on future activities as necessary.   f)Provides individual career counseling to assist graduating students with achieving their career goals.   Under the direction of the Associate Dean of Admissions and Outreach and Program Director, works with GSAPP's Communications Office to ensure consistent messaging and outreach.   Under the direction of the Associate Dean of Admissions and Outreach and Program Director works with the Director of Admissions and Finance on admissions processes and recruitment efforts.   Under the direction of the Associate Dean for Development and Alumni Relations assists with the Advanced Architectural Design alumni engagement, events, and cultivation.   Manages all aspects of Advanced Architectural Design event planning including coordinating with the Program Director, event staff, technology staff and participants. Other duties as assigned/requested. (10%) Other duties as assigned/requested. (10%) Minimum Qualifications Bachelors' degree and/or its equivalent required. Three years relevant experience required. Master's degree preferred. Must have excellent written, oral and interpersonal skills. Must be able to function independently and exercise discretion and good judgment about sensitive and/or confidential issues. Ability to work under pressure and with changing priorities and deadlines and a large volume of detailed information required. Proficient in Microsoft Office Suite.     Some evening and occasional weekend work required.     Preferred Qualifications Work experience in the fields of Advanced Architectural Design preferred.
