Job Description Summary

Provide receptionist support during normal business hours, Monday through Friday.

• Responding to all Bank requests, both oral and written, for discrete receptionist services as required; screening employees/visitors, notifying employees of visitors, handling inbound phone calls, including customer complaints, with professionalism and in accordance with Bank protocol for customer service and compliance;

• Adherence to all procedures established by Bank, including security and compliance.

Job Description

General Work Requirements to include, but not limited to:

• Answer phone, including main phone line for inbound public calls to Corporate Headquarters, in a friendly and professional manner. Efficiently and expeditiously route calls to the appropriate destination while providing high quality service.

• Route Customer Complaints in accordance with Bank procedures.

• Meet and greet visitors in a friendly and polite manner to ensure a positive visitor experience, while complying with Bank requirements for visitor registration. Includes clients, third party service providers, and non-resident employees.

• Assure visitors are either escorted by a host(ess) or possess appropriate badges prior to entering building access control points within Reception’s purview.

• Administer inventory of building access badges (temp, lost, forgotten) in accordance with Bank’s Physical Security Requirements. Create & maintain badge logs and document incidents of lost &/ or forgotten badges for management exception reporting.

• Defer all packages deliveries/pick-ups to Mail Services for chain-of-control and delivery.

• Participate in the Building Emergency Action Team. Perform the roles of a Floor Warden (Searcher, Stairway Monitor, etc.) when required.

• Provide administrative support as necessary, i.e. office supplies, clerical, document editing.

• Create and maintain Receptionist job aids as needed to assure inquiries are handled efficiently and consistently, i.e. Frequently Asked Questions, directories, key points of contact, etc.

• Maintain the reception area, keeping it clean and tidy at all times.

• Maintain environment and housekeeping of lobby, local break room, etc. Contact the Facility Help Desk for special requests or cleaning, i.e. spills.

• Assist others with the self-serve, online Room Reservation system as needed.

Other Skills and Requirements

• Professional appearance and demeanor

• Provide continuous coverage of the Receptionist phone and lobby desk.

• PC proficiency with MS Word, email, Internet and other office equipment

• Works autonomously and takes initiative

• Excellent written/verbal communication skills

• Excellent customer service and interpersonal skills

Experience Required:

• 2 – 3 years of experience

• Working knowledge of general office procedures

• Demonstrated ability to handle high volume of calls and visitors
