Job Description Summary

Under the general direction of the Senior Project Manager, the Project Coordinator of Furniture and Procurement provides diverse project management support functions for furniture, design, construction and modernization projects. Oversee and maintain project files and procurement for all Project Managers and Assistant Project Managers, post changes to furniture drawings and specifications, manage act as a liaison between the business unit and furniture vendor distribute reports as required. Serve as a backup to the Project Managers and participate directly in Project Management initiatives in the absence of the Project Manager. Assist in activity tracking and expediting and work on special assignments as needed.

Job Description

Essential functions and responsibilities

Support Project Management team with all procurement requests and required administrative tasks related
Support new vendor set up process and follow up with requirements for processing (contacting vendors direct to assist in the required process)
Requisition request input into First American procurement platform system
PO processing requirements (follow up with approvers required for PO processing)
Input POs for quotes and invoices into excel file, confirm invoices paid save to excel file/ capture all procurement for each project/save to O/Drive in project folders
Assist Procurement/Vendors/Project Management team in resolving invoice issues/get POs issued for invoices that don’t have PO- all related requirements for processing of procurements needs-signatures/vendor set up requirements/follow up

Maintain all contract and project files, including posting changes to drawings and specifications
Develop standardized departmental project management means and methods as they relate to Tracking, schedule, budget, cost accountability, contract administration and other project related requirements
Attend and facilitate project meetings when needed. Publish meeting minutes following each meeting
Develop and document specific process flows and procedures relating to project scopes
Provide operational and procedural support to ensure all procurement, consulting, design and/or construction projects assigned are executed in accordance with established departmental means and methods
Assist the Program Manager in the assembly of data for preparation of project status reports. Ensure data integrity, monitoring and compliance of project data

Coordinate regional reconfigurations; MAC moves include IT as required. Preparation of detailed budget and cost tracking reports and orders
Manage 360 Facilities Requests for all regional locations
Re-assign 360 Facilities work requests to Facilities Engineering or Security as needed

Important education

A high school diploma is required. A Bachelor’s degree is preferred

Important experience

A minimum of 2-3 years of prior work experience in furniture, architecture, construction or project management field is preferred

Possess a working knowledge of furniture, procurement, construction and contract administration means and methods, and have the ability to assist in the implementation of these procedures
Possess the ability to develop positive working relationships with peers and senior management across departmental lines, local government officials, and members of the business community
Strong written and verbal communications skills
Excellent facilitation skills for meetings with senior management and contractors
Ability to assist in the coordination, development and implementation of construction, architectural/engineering and consultant type contracts
Possess above average analytical and quantitative skills, with the ability to read, interpret, and develop schedules, claims analysis, statistical report and calculations as required
Basic knowledge of generally accepted accounting and budgeting practices
Ability to read and interpret construction plans and specifications
Strong proficiency with MS Office Suite (MS Word, Excel and PowerPoint)

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
