Role Overview

The FM Estates Delivery Administrator is responsible for overseeing the management and secretariat support of the Governance meetings for the Metropolitan Police contract on behalf of the Senior Estates Delivery Manager and the Account Director. The successful candidate will also support and oversee the Estates Delivery team Balance Score Card function - check and issue ensuring that accurate data, reporting and analysis of supplier performance is in line with KPIs and Balance Score Card monthly outputs.

Core Responsibilities & Duties

The Administrator is responsible for co-ordinating, supporting and assisting the management project team across all aspects of the team’s responsibilities:

  • Provide support; assistance and co-ordination of supplier and client governance structure

  • meetings, including attendance; taking of minutes/actions, and timely distribution of minutes;

  • Co-ordinate the contract governance activity of the supply chain through robust management of the meeting planner;

  • Ensure that all relevant/necessary documentation is uploaded to Sharepoint in a timely manner;

  • Co-ordinate all project wide diaries; schedule meetings; manage all meeting requirements (i.e. catering/room bookings/provision of equipment/security arrangements);

  • Ensure all documents are ready for all supplier and client meetings; and distributed in advance;

  • Undertaking adhoc and regular administrative duties, proactively and upon request;

  • Support, assist and co-ordinate contract mobilisation/exit;

The candidate must also be able to work independently under nominal supervision from the Senior FM Estates Delivery Manager, whilst working collaboratively with clients and all other members of the KBR MET Project Team.

At prescribed times during the month, (as outlined in the Balance Scorecard Process), the role will also be responsible for the following:

  • Reviewing data collated for all MPS FM Supplier Balance Scorecards, ensuring KBR Responsible Persons have fully completed returns by the specified target date;

  • Overseeing all data has been accurately captured within the BSC’s;

  • Distribution of the Supplier Balance Scorecards to nominated points of contact within the supply chain;

  • Supervising the maintenance and accurate record of all correspondence relating to the Balance Scorecard process;

  • Supervising to ensure collaborative working with all key contributors to the Balance Scorecard Process;

  • Oversee Monthly consolidated Balance Scorecard matrix for the client; and distribute to agreed list of recipients by a specific target date

There is an analytical element to the role to provide insight into performance data, compile reports and recommendations in line with trends and to support the Senior Estates Delivery Manager as required to interrogate and develop data to meet business and strategy requirements.

The successful candidate will also oversee and provide communications to KBR Group, Supplier and Client in line with business requirements and to act as single point of contact to co-ordinate and distribute responses within KBR.

Qualifications, Competencies & Skills

Qualifications / Clearance:

  • Full MET security clearance, or be able to obtain security clearance

  • Ability to be detail orientated as well as understanding the strategic importance of business activities;

  • Effective communicator both verbal and written with ability to produce accurate and timely reports;

  • Provide competent secretarial support for Governance meetings, minutes and actions.

  • Proficient in all areas of Microsoft Office Word, Excel; Excel Functions (i.e. vlookup); Powerpoint and Outlook

  • Ability to identify the need for additional systems and processes;

  • Has worked in roles where he/she has had to accept responsibility for data accuracy within own remit, work area and compliance with company and or legal requirements;

  • Proven track record in identifying efficiencies and implementing strategy to streamline of operations / administrative functions;

  • HSE awareness

  • SharePoint experience;

  • Strong commitment to all HSE aspects promoting Zero Harm throughout the organisation.

Preferred:

  • Supply Chain Management / Facilities Management qualification to level 3;

  • Experienced with technical and administrative document control procedures;

  • Experience of working with a contracted supply chain in fair, visible and transparent way;

  • Experience in monitoring supplier performance against applicable benchmarked criteria and KPIs
